Say "GDPR" and most people picture the digital world, cookie banners, password policies, hackers in hoodies. What rarely comes to mind is the filing cabinet in the corner of the office. But data protection law doesn't care whether personal information lives on a server or on a sheet of A4, and some of the easiest compliance mistakes a business can make involve nothing more technical than a bin bag. Here's how UK GDPR applies to your paperwork, and why the way it leaves the building matters as much as the way it's stored.

Yes, paper counts

UK GDPR covers personal data processed by computer and personal data held in, or destined for, a filing system, which is exactly what the ICO calls the structured paper records almost every business keeps. Think about what's actually in your cabinets and archive boxes: customer invoices with names and addresses, staff files, payroll printouts, signed contracts, delivery notes, CVs from old recruitment rounds, appointment books. All of it is personal data, and the law's requirements, including keeping it secure and not keeping it forever, apply to every page just as they do to your database.

A bin bag can be a data breach

Here's the part that catches businesses out. A data breach doesn't require a hacker; it's any loss of, or unauthorised access to, personal data, and paperwork put out with the general rubbish is exactly that. Once a bag of un-shredded customer records is in an open bin, a skip or a recycling collection, you've lost control of it, and anyone who fishes it out has names, addresses, account details and signatures. No firewall was breached; the data walked out the front door in a black sack. The headline numbers are serious: for the most severe breaches of the data protection principles, the ICO can issue fines of up to £17.5 million or 4% of worldwide annual turnover, whichever is higher. What the law expects when paperwork's time is up
